Purpose. Estimators and managers use this template to prepare a written quotation that defines the scope, exclusions, price, program and conditions for installation and service work.

1.Purpose

A quotation is the basis of the contract with the customer. It must describe clearly what will be done, what is excluded, what the customer must provide and what the price includes so that variations can be identified and agreed later.

2.Scope of works

Describe the work in numbered items in the order it will be done, naming the switchboard, circuits, equipment, cable routes and locations. Reference the drawings, the site survey and the standards that apply. State the testing and certification that will be carried out and the documentation that will be handed over.

3.Materials and labour

List the major materials with quantities and the labour by trade and hours. Use the pricing schedule for labour rates and current supplier pricing for materials. Add allowances for consumables, travel, equipment hire and access equipment, and show the margin applied.

4.Exclusions and assumptions

State what is not included, such as builder's work, network fees, asbestos removal, after-hours work or repairs to existing defects found during the job. State the assumptions about site access, power outages and the condition of the existing installation.

5.Program and conditions

State the expected start date, duration, outage windows and the validity period of the quotation. Include the payment terms, variation process and warranty period. The quotation is reviewed by the department manager before it is sent.
